Who we are
Arcadent Ltd provides independent assessment and certification of multidisciplinary team (MDT) working practices. We are registered in England and Wales, company number 16394397, at 44 The Pantiles, Tunbridge Wells TN2 5TN, United Kingdom.
Arcadent Ltd is responsible for the personal information used to manage its enquiries, applications and certification service. For privacy questions or to exercise a data protection right, email support@arcadent.com or write to our registered address.
Information we use
We use names, professional contact details, job titles, organisation details and correspondence supplied through enquiries and applications. Assessment information may include staff roles, attendance information, supporting evidence and assessor feedback. Information comes from applicants, their organisations and the assessors involved in the review.
Our website and service providers may also process IP addresses, browser information and security logs to operate and protect the service. Please do not include patient-identifiable information in website forms, uploaded evidence or general emails.
Why we use personal information
- Answering enquiries: our legitimate interest in responding to requests and managing professional relationships.
- Administering applications and assessments: performing a contract where the individual is a contracting party, or our legitimate interest in delivering the service to an organisation where the individual acts as its representative.
- Billing and business records: meeting applicable accounting and tax obligations.
- Protecting the service: our legitimate interest in maintaining security, preventing misuse and resolving problems.
Required application fields provide the information needed to identify the applicant, contact the organisation and arrange an assessment. Without this information we may be unable to provide the service. Submitting a form does not by itself constitute consent to unrelated marketing.
MDT meeting observation
Assessors may observe live MDT meetings with prior approval from the host organisation. Patient information may be visible or discussed during those meetings. Assessors must follow the host organisation’s confidentiality and information governance requirements and sign confidentiality documentation.
Arcadent does not record these meetings or use automated or AI transcription. Assessor notes must exclude patient-identifiable information, and Arcadent does not retain patient documents. The review concerns MDT working practices rather than individual patient care.
Meetings use the host organisation’s chosen platform. The host and Arcadent must agree the permitted access and applicable data protection arrangements before observation takes place. This includes the lawful basis and any additional condition required for access to health information. A confidentiality agreement does not replace those requirements. Patients should contact their healthcare provider about its use and disclosure of their clinical information.
Who receives information
Relevant application and assessment information is shared with the assigned assessor and the organisation’s nominated contacts to arrange and carry out the review. Assessors are subject to confidentiality requirements.
Suppliers providing website hosting, email, technical support and business administration may process information as needed to provide those services. Hosting is arranged through Crisell Internet Consultancy; email is accessed using Gmail. We may also disclose information where required by law or where necessary to establish, exercise or defend legal claims.
Cloud services can involve processing outside the UK. Where a restricted international transfer is involved, appropriate legal safeguards must be in place. Contact us for information about the suppliers and transfer arrangements relevant to a particular enquiry or assessment.
How long we keep information
We retain enquiry information for the time needed to deal with the enquiry and relevant follow-up. Application and assessment records are retained for the administration of the assessment, the certification period, any reassessment or appeal, and any justified need to resolve a complaint or legal claim. Billing records are retained to meet applicable accounting and tax requirements.
Retention depends on the purpose of the record, whether the relationship is ongoing, and any legal obligations. Information should be deleted or anonymised when it is no longer needed. Contact us to ask about the retention of a particular record or to request deletion.
Protecting information
Access to assessment information is limited to those who need it for the service. Avoid sending unnecessary personal information. If a document is needed for an assessment, remove patient details before submitting it. Keep any questionnaire save-and-return link private, as it may allow access to the saved response.
Cookies and online forms
Website functions may use cookies or similar technologies for security, sessions and form operation. Online forms automatically load Google reCAPTCHA to help prevent automated abuse; Google’s Privacy Policy and Terms of Service explain that service. Optional analytics or advertising technologies require a separate choice where consent is required.
Browser settings allow cookies to be managed or deleted, although blocking essential technologies may prevent some functions from working.
Your rights
Depending on the circumstances and lawful basis, you may request access to, correction or deletion of personal information, restriction of its use, or a portable copy. You may object to processing based on legitimate interests and to direct marketing at any time. Where processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing.
Email support@arcadent.com to make a request. We may need to confirm your identity. Requests are normally handled within one month, subject to the applicable rules on clarification and extensions; any applicable extension and its reason will be explained.
You can also complain to the Information Commissioner’s Office, the UK data protection regulator.
